State law requires that the City produce specifically identified records in its possession within a reasonable time. City policy states that you should receive an initial response to your request within 48 hours. If a record is not readily available and will require more than 30 minutes to retrieve, you will be provided with an estimate of the retrieval cost and may be asked to pay a deposit before the documents are pulled. The cost of the retrieval will be based on the actual number of hours required to retrieve the documents at the hourly rate of the lowest paid staff capable of performing the retrieval. If the actual cost is less than your deposit, you will be refunded the balance. Likewise, if the actual cost exceeds the estimate, you will be asked to pay the difference.
